Catalyze Meaningful Refugee Participation Globally Through Operational Support:

The challenges facing refugees and forcibly displaced people are more pressing than ever. Systems are strained, and the need for inclusive, transformative solutions has never been greater. As a leading global refugee-led organization (RLO) driving systemic change, Refugees Seeking Equal Access at the Table (R-SEAT) works to operationalize meaningful refugee participation as a tool to enhance the responses of the global refugee system.

We’re seeking an Executive Assistant who is a passionate and responsive self-starter with strong written and verbal communication skills. R-SEAT is a dynamic, international team working with numerous stakeholders in a fast-paced environment. We are seeking a candidate that can manage a diverse and always evolving workload across numerous competing priorities. This role is based in Colombia, Mexico, Lebanon, Syria, Kenya, or Uganda. Applicants with previous experience in operations or supporting C-Suite executives are specifically encouraged to apply.

About R-SEAT

R-SEAT is an international RLO working to enhance the effectiveness of global refugee responses by co- designing transparent, structured, and institutionalized refugee advisory mechanisms. These mechanisms amplify and activate refugee leadership ecosystems and increase the participation of refugees at state levels in a meaningful, sustainable, and transformative way. Our work centers on three key pillars:

1.       Engage: R-SEAT collaborates with strategic partners, including building capacity and securing commitments from governments, to establish refugee advisory mechanisms at the national level. These mechanisms institutionalize meaningful refugee participation in the global refugee system as a tool to enhance its outcomes and responses.

2.       Amplify: R-SEAT shifts the narrative surrounding RLOs and refugee leaders, positioning them as critical, respected, and recognized partners in shaping refugee responses at all levels.

3.       Connect: R-SEAT facilitates dynamic connections between refugees, RLOs, and other stakeholders such as private philanthropy, governments, and INGOs, creating a reciprocal network that promotes knowledge-sharing and resource mobilization.

As the Executive Assistant, you will structure and support R-SEAT’s mission by:

·       Drafting working documents and speaking notes: Transform ideas into clear, compelling content across a wide range of formats, ensuring accuracy, coherence, and alignment with organizational priorities.

·       Managing calendars: Proactively coordinate and prioritize complex schedules, balancing team workflows, external commitments, and time-sensitive demands.

·       Liaising with diverse stakeholders: Maintain prompt, professional, and culturally sensitive communication with all partners, contributors, and external stakeholders

·       Providing administrative support: Organize and maintain systems for filing, documentation, note-taking, and general administrative tasks that contribute to a productive and efficient work environment.

·       Maintaining contact management systems: Confidently use and regularly update our CRM to ensure accurate, up-to-date records and support effective relationship management.

We want someone organized, motivated, and flexible, to strengthen our team. You must:

·       Be based in Colombia, Mexico, Lebanon, Syria, Kenya, or Uganda.

·       Be passionate about refugee issues and skilled at supporting a diverse team.

·       Have strong time management and organizational skills.

·       Have the technical skills to utilize contact management and mailing platforms, as well as Microsoft Office Suite and other relevant tools.

·       Be a fluent and professional communicator in English.

·       Be able to travel regionally, and preferably internationally.

·       Embrace flexibility and thrive in a remote-work environment.

·       Be self-motivated and take initiative and ownership over tasks and outcomes.

Strong candidates will also:

·       Have strong knowledge and/or experience of regional forced displacement processes and initiatives regionally or globally.

·       Be familiar with global governance structures and global refugee initiatives such as the Global Compact for Refugees and the Global Refugee Forum.
